Rental Information

The Beechwood clubhouse is a spacious 3,250 square foot location that includes a large entry foyer, 1,900 square foot Main Hall, 600 square foot Multipurpose room, kitchen, and large 4-stall bathrooms. It is available for rent by the general public, with discounts for BRA members.

Standard rentals are available from 8 am - 11 pm. The maximum capacity for the main hall is 175 people and for the multipurpose room is 40 people. Rentals are available any time that the association is not using the clubhouse for member events and are scheduled on a first come first-serve basis.

Hourly rentals are available per hour beginning 8 am - 10 pm.

Half-day rentals are 6-hour blocks of time scheduled between 8 am - 11 pm. Additional hours may be purchased at the hourly rate.

Full-day rentals give the renter access to the clubhouse from 8 am - 11 pm.

After-hours rentals are available from 11 pm - 2 am in full hour increments only. They may be added onto any regular hour rentals that go until 11 pm.

The Beechwood pool is a 25-meter pool with five lanes, a large attached shallow area, and attached dive well with a diving board. There is also a wading pool for the little children between the main pool and the snack shack. The total capacity for both pools is 186 swimmers. We welcome pool parties to share their swimming fun with our members while enjoying a designated space on the pool deck. Exclusive rental of the pool, where we close it to all people except the renting party, are also available at a fee that recognizes the member-centric mentality of our pool. All pool rentals include staffing of lifeguards and a gate attendant during the beginning of the party.

The pool season begins annually the weekend of Memorial Day through to Labor Day. Ladies' and men's bathrooms are available with changing space. The pool also features showers, a snack shack (concessions) with a variety of foods, lighting to allow swimming after the sun goes down, and two permanent guard stands.

Regular hours rentals and clubhouse rental add-ons are available from 11 am - 8 pm Tuesday through Saturday and 1 pm - 8 pm Sunday. These rentals are booked in groups of 45 swimmers with additional hourly rates as the number of swimmers increases. Non-members attending these parties will be required to purchase wristbands to wear at all times during the party.

After-hours rentals are available per hour from 11 am until 2 am Mondays (into Tuesdays) and from 8 pm until 2 am Tuesday - Sunday (into Monday).

Exclusive Use Parties are available 11 am - 8 pm Tuesdays through Sundays. The renters will have exclusive use of the pool facility as it will be closed to anyone not part of the rental party during the assigned period.

All rentals of the clubhouse and pool require a non-refundable 25% rental deposit. The deposit will be applied to the overall rental fee to secure the date and time requested.

Clubhouse rentals also require a non-refundable cleaning deposit ($250), collected with the final installment of the rental fee.

The final installment will be due 14 days before the date of the event, otherwise, the booking will be subject to our cancellation policy. (With exceptions being possible for last-minute rentals.)

Payment is accepted via cash, certified or Cashier's check, money order, ACH, credit, or debit. A 3% processing fee will be assessed for ACH, credit, and debit payments.

Pool rental includes:
- A designated party area on the pool deck
- Use of a shade, party table, and chairs
- Access to the Ladies' and Men's 2-stall restrooms and changing rooms
- Additional pool staffing

Additional tables ($10/each), chairs ($2/each), a gas grill ($45 gas included), a charcoal barrel/smoker grill ($35 charcoal not included), and other event supplies (from Grand Rental Station) are available as additions to the rental contract.

** A Banquet Permit from the Virginia Alcoholic Beverage Commission (VA ABC) is required to prepare and consume alcoholic beverages during an event. A copy will also need to be sent to me (emailed copy preferred). Visit http://www.abc.virginia.gov/licenses/get-a-license/banquet-licenses ** For rental of both the clubhouse and pool, two permits will be needed, one for Beechwood Pool (903 Colleen) and one for BRA Clubhouse (313 Beechmont).

Options such as recurring rentals, or long-term rentals are available on a case-by-case basis at the discretion of the clubhouse manager.

Booking of all events requires a completed rental contract to be sent to the clubhouse manager which initiates a 24-hour hold on the requested date and time. After the contract is received by the manager an invoice will be sent via Squareup.com to the renter's email address. If payment is not made in the 24-hour grace period, the date and time may be reassigned to another renter.
